My name is Carrie Jackson and I am a librarian at the University of Alberta John A. Weir Law Library in Edmonton, Alberta.

 

Our library is currently reviewing its serials collection and is attempting to develop a way to identify specific looseleaf titles that could be cancelled and instead, ordered every 2-5 years as monographs. 

 

I hope that some of you may be able to answer a few questions for me:

 

  • Have you found it necessary to evaluate how you keep your loose leaf collection up to date?
  • Have you gone through any kind of process of cancellation and subsequent ordering of a title as a monograph 2-5 years later?
  • Does your law library have any sort of criteria or policy in terms of your looseleaf collections for retention or cancellation? For example, foreign vs. Canadian vs. top subjects taught at the law school.
  • If so, what are your criteria? For example, staff time, price, frequency of updating, etc.
  • What is the process for identifying these titles to be cancelled or retained?
  • How do you keep track of the titles you want to reorder on a periodic basis?

Hi, I work in a Hong Kong law firm and we have a substantial number of loose-leaf title (mostly l published in the UK). Most of our UK loose-leaf are managed as monograph. We make a note in our subscription renewal data file of when to purchase a new set and put a very prominent note at the front cover of the book telling users when the book was last up dated . We were able to do this because in Hong Kong UK law is of persuasive authority only. In most case it is not essential to have the most up to date materials. Hope this is of help anyway Vivian

Hi Carrie, a number of years ago we did cancel some loosleaf materials that in our library (a firm) were used as textbooks AND cost more to keept current in the span of a year than to repurchase the content for. We have an annual repurchase schedule diarized in our procedures manual and Outlook for each title to space out the re-order of contents over the year. This only works because we have a set number of users and were able to identify the collection needs based on that primary group. For your interest, the titles are: (Note some of these we continue to subscribe to as looseleafs in one of our collection sites) Law of Vendor and Purchaser Registration of Title to Land Bankruptcy and Insolvency Law of Canada Canadian Law of Landlord and Tenant Choate on Discovery (every 2years) Law of Canadian Municipal Corporations Criminal Pleadings and Practice in Canada Criminal Sentencing Digest Cheers, Shaunna
